Manager, Client Services & Administration

We are currently looking for a seasoned Manager, Client Services & Administration to join the team and contribute to our success. The ideal candidate is a passionate professional who thrives in a collaborative, fast-paced and flexible environment, and is happiest when juggling several balls at once.  As Ingenium’s Manager, Client Services & Administration you bring exceptional client relationship skills, as well as financial and/or event management abilities to the table, along with a relentless commitment to quality and attention to detail.  Your sense of humour, adaptability and resourcefulness are the cherries on top!

Duties & Responsibilities

  • Deliver an impeccable level of service in meeting client needs and building relationships
  • Manage the firm’s project management system
  • Provide logistics and project management support for workshops and training, including rapporteur services
  • Function as a senior executive assistant to the Principal and Founder, coordinating meetings, travel arrangements, documents and deliverables
  • Manage the financial pipeline of corporate projects, prepare monthly invoicing (using QuickBooks), and compile financial reports in conjunction with the bookkeeper and comptroller
  • Contribute to document production including proofreading and formatting (Word and PowerPoint)
  • Manage social media on LinkedIn and Twitter

Qualifications, Knowledge, Skills

  • College or university diploma in related field or equivalent experience
  • Exceptional attention to detail and quality control
  • Proven track record in working as a Client Services Manager, Office Manager, Executive Assistant, Project Manager, Event Planner or similar role
  • Superior writing skills in English
  • Excellent abilities in Word and PowerPoint
  • Sound judgement and a self-starter
  • Ability to work effectively in meeting deadlines, independently and with limited supervision
  • Strong interpersonal and client service abilities
  • Experience with QuickBooks and financial tracking/reporting an asset
  • Experience with social media an asset

Location of Work

  • Ingenium operates in a virtual office environment. Work to be performed primarily from the Manager, Client Services & Administration’s home (equipment to be provided by Ingenium).
  • Work is also required at client locations (in capturing notes for meetings and supporting workshops).
  • Meetings as needed (e.g. coffee shops, Principal’s home etc.).
